About the Role:

As a Business Operations Specialist for JLLT's PM Technology, you will play a crucial role in the operations team, reporting to the Chief of Staff.

Your primary responsibility will be to support the planning and delivery of key projects, collaborate with stakeholders to deliver operational improvements, and manage business operations to ensure smooth functioning. Additionally, you will be responsible for maintaining accurate business reporting, project management, business analysis, and driving operational excellence.

The Business Operations Specialist will have exposure to and serve as a strategic partner to teams across the organisation to support them in driving success.

Key Responsibilities:

Project Management

  • Lead project planning, including defining project scope, goals, and deliverables

  • Communicate project progress and updates to stakeholders and project team

  • Conduct regular project status meetings and provide timely reporting

  • Ensure projects are delivered within scope, on time, and within budget

  • Anticipate and mitigate potential project obstacles and conflicts

Operational Management

  • Streamline cross-functional operations and promote collaboration among teams

  • Identify areas for improvement and implement initiatives to drive operational excellence

  • Create, implement, and optimise scalable processes to streamline cross-functional operations and facilitate knowledge and asset sharing.

  • Facilitate and cascade business-wide communications

Business Analysis

  • Assist teams in creating, designing, and submitting accurate and timely business performance reports

  • Develop and implement performance metrics and reporting mechanisms to track operational performance

  • Analyse business data and generate insights to support decision-making and drive continuous improvement

What We’re Looking For:

  • Excellent verbal and written communication skills – ability to communicate and collaborate across many levels in the organisation and with clients.

  • Must be highly credible in front of senior personnel. Represents ideas effectively with strong persuading and influencing skills, and powerfully communicates the value of our successes.

  • Strong project management, with a track record of identifying potential issues proactively and formulating solutions and contingency plans.

  • Strong skills in areas of organisation and execution while being results driven – the ability to analyze, act, and implement to ensure desired results are achieved.

  • Getting results from ad hoc groups of disparate people is critical. Key stakeholders and collaborators are geographically dispersed.

  • Proven ability to initiate and follow through with improvement initiatives. Able to work independently and be a team player

  • Sound judgment, initiative, resourcefulness, tenacity, and the flexibility to operate independently in a fast-paced, unstructured environment. Needs to be a self-starter and hold the team accountable to deadlines and deliverables

  • Experience driving results amongst cross-functional teams, especially at senior and executive levels of an organisation.

  • Proficient in Microsoft Office applications.
